Hate to tell you this, but if you are using a version of MS Office Home and Student version, it's license is only for private/personal use. If you are working as a secretary and using if for mailing lists, you are likely violating the license agreement.
In order to do this and not violate the license, you'll either need to get permission from MS (highly unlikely) or purchase a commercial version of MS Office. Microsoft takes the license very seriously and there can be ramifications.
